5.20 Volunteer Employees

I. Policy

It shall be the Library policy to make use of volunteers when there is a demonstrated need for additional help which cannot be provided by regular staff and student assistants. Volunteer employees are not intended to replace regular positions, but to augment the Library's present resources. (The Assistant University Librarian for Administrative Services will have the same overall responsibility as for other applicants and/or employees.)

Short-term volunteers may assist with limited projects or in emergency situations.

Long-term volunteers/interns may be utilized for on-going projects which would not ordinarily be funded by the General Fund. These long-term volunteers should have regular schedules, generally between the hours of 8:00 am and 5:00 pm, Monday through Friday (or during hours when a supervisor is present), and be given specific assignments which are reviewed and assessed regularly by their supervisors.

II. Procedures

  1. A volunteer should be referred to the Library Office.
  2. The Library Office will perform an initial screening of the volunteer to determine his/her area of interest, hours available and any other pertinent information.
  3. The Library Office will contact unit heads to determine if there is need for a volunteer in any area and give the name and phone number of the volunteer to be contacted. Conversely, library unit heads may contact the AUL/AS if volunteer help is needed.

    2. Biographical information (PF 002-A)
    3. Oath of Allegiance (PF #167)
    4. Employment Application or resume (PF #105B or C)
    5. Employment Eligibility Verification (I-9)
    6. When the forms have been completed, the volunteer will take a copy of the forms over to the Personnel Department and speak with the Campus Volunteer Coordinator who will explain the rights of volunteer employees at San Francisco State University.
    7. A volunteer employee is covered by Workers' Compensation and State Liability. Although ID cards are not normally issued to volunteers, a temporary ID card will be issued by the Personnel Department upon request.
